Leadership Question, Any Update On upcoming French Creek Aug 2 O Meet please

    Hi Everyone, Can anyone update the Status of the next August 2 French Creek Park O meet?  I see it has no Course setter nor Event Director (on the published details) , but maybe someone is just "itching" to volunteer to do that duty.  I would help as a registrar or trainer volunteer, due to the distance and politics I can't yet volunteer for the top 2 meet posts(?) Unless my arm was twisted... .  Maybe a past course setter can just recycle old course designs from 2 or more years ago? I see the permit check is on the schedule, so the Park is OK with us/DVOA attending.  Let me and DVOA ...  know, having just hosted an ad hoc Scout O only  on 20 June with Pin Punches and Pink cards, (that does reduce the need for a computer and E punch staff person),  I hope youi can think this over, (pun)  over ... the 4th hOliday and post what is likely to happen on 2 August and give us a summer event (or more) to look forward .  Don't keep us in a french Connection snafu.  Let me know.     It's on*!  Mary is Event Directing, and I am Course Setting.  We'll have WYOBrGR courses, and I've found some woods that are still surprisingly white (given it's Summer, much of the map will be a little greener than usual, but I'm scouting-before-setting to avoid the worst of it.)

    Tentative guidelines for how we are approaching Social Distancing are here - comment feedback in the doc is welcome.

    tl;dr: Bring your mask, plan to stay 2+ meters from others when queueing for registration, start, or download, and come enjoy the forest!


    Registration is planned to be on-site - with map pickups at a distance from othe people.   If you'd like to have a personally prepared map, and/or rental epunch, you can email me and let me know which course you'd like to do, and if you'd like a rental epunch, so I can get that set up for you in advance. 


    Also, consider buying an SI Air from sportident.us to maximize your social distancing at controls, start & finish - order soon, so it arrives before August 2nd.  

    Or email me to let me know if now's the time you'd to like to buy a personal (non-Air) epunch, sold by DVOA at cost ($40) and we can have that pre-bagged for you at the start.


    Finally - as mentioned in the event schedule notes - we are offering a 9am - 10:30am start window for people who feel they are at higher risk.   If you feel you are at low risk, please wait until 10:30am to arrive (you'll have until 1:30pm to start, and until 3pm to finish.


    *The Park is excited to have us there, so we're good to go, unless Governor's orders change things between now & August 2nd.

    As an update.  The Board voted to make all of our events for the forseeable future pre-registration events.  This is to reduce the contact between individuals through the transfer of waivers and money and to meter the participants coming through the registration area.

    This is just an idea, feel free to shoot it down or ignore it.  Charge $10 flat fee and put it in a slot.  Everybody has to have their own epunch.  Add phone numbers to the archives.  Voila, you have the CDC list of everyone who came to the event with their phone number.

    KathyU -- with online pre-registration people will also fill out their waivers online. Which means there's no need for people to handle paper and shared pens at the event; there's also no need to stand in line waiting to fill out the waiver (and thus no need to for us to micromanage how far people need to stand from each other in that line). The lines at some of our events during peak hours can be quite long and slow whenever a few groups of newbies show up.

    Also with pre-registration we can enter your epunch number and course selection into the event file in advance -- so again, you don't have to wait in line to dip your epunch into the registration box and to tell someone which course you are running.

     

    Also, in my experience, newbies always expect pre-registration and are surprised that there isn't any. This makes it look like the event is tentative and might not actually happen. And without pre-registration newbies don't make a solid plan to show up. So in a weird way, pre-reg might make our events more attractive to newbies.

    With an online registration, only, we know how many maps to print. No guessng. 

    All registrants and their info should be loaded into the computer BEFORE the event. Then the morning of the event, it's just a double check that the info is all in there. Registrants should bring their e-reciept or paper copy of it.
