Topic created by wriley on Thu Feb 17, 2022 at 11:09 pmAs you're likely aware - since our resumption of orienteering events in summer 2020, DVOA has been using EventReg & pre-registration as the primary entry method for events.This has had immense improvements in reducing day-of registration chaos, and in ensuring maps counts can be printed more accurately (less waste, and rarely out-of-maps cases) and early concerns around difficulties for our attendees to learn this process have been overcome. Given this success we plan to continue online pre-registration for our events, indefinitely.One area of confusion during this period, however, has been late or day-of registration - what happens if you miss the (typical) Thu. PM (or later) deadline for online registration? Are you out of luck? Can you reach out to the Event Director? What will they do?After much discussion the DVOA Board has agreed on the following:- Pre-registraton remains strongly encouraged - for the above mentioned reasons, and - new - because it'll save you $.- Day-of registration will now be available:- at $10 for White- at $20 for any other course- noting that Map/Course selection may be limited*Day-of registration is meant primarily for in-park walk-ups - who can go out on White for $10 (map-availability permitting.)*If you've missed the deadline, and are interested in other courses than White - you can still reach out the Event Director (click the link in the Schedule) to see if they can hold a map for you - and plan on paying the $20 Day-of registration fees.Thanks to the 98% of you who do pre-register - that has greatly reduced the stress on your event registration volunteers. And if you do occasionalyl forget - know that your $20 will continue to go toward funding DVOA equipment, and maps, for this and future events.

Reply by Guy-O on Fri Feb 18, 2022 at 9:43 amWhile I appreciate the reasoning, IMO, +$13 is a pretty steep penalty for missing a deadline 2-days away from an event (Thu PM - Sun AM). Steep enough that it could easily sway the fence-sitters to decide against going.Also, since park walk-ups are unlikely to be members, $10 for White is actually a discount compared to the $12 non-member fee (per "What happens when I arrive at an event?" in the New Orienteer FAQ).

Provided white maps are available above the final expected registration count the Non-member white fee should be at least $12.00 for walk-ups. $10 may be for members??I do believe the $20 rate after the deadline is fair. You should and I believe as Wyatt stated 98% have no problem with registering prior to the cutoff. If you for some reason decide at the last moment to come and there is a map available then $20 seems reasonable to me. Obviously you need to check with the event director to make sure maps are still available before traveling to the event.Mark

My interpretation was that both the $10 and $20 would be flat fees for all, regardless of membership status-- because Wyatt didn't mention any difference. If different member/non-member late / walk-in fees were approved by the Board, what are they?I agree that, if someone decides they want to go to an event the day before or day-of -- ie, last minute as you said -- that $20 is reasonable. I'm thinking more about deciding to go to a Sunday event on, say, the Friday before as opposed to day-before or day-of.Was a sliding scale considered? For example for Yellow+, +$3 ($10 for members / $15 for non-members) within 24 hours of closing, +$8 ($15 / $20) the day before, and +$13 ($20 / $25) for day-of walk-ins -- conditioned on map availability, as always.

Reply by wriley on Sun Feb 20, 2022 at 2:02 amThe Exec Comm & registration officials discussed whether we should have a difference in member vs. non-member fees for Day-of - and decided against that - it's hard enough to check whether pre-registrations are actually members, and near impossible for that to happen day-of - so keeping it simple was intentional. Guy has surmised correctly.The $2 lower-fee for the niche White-running non-members that may incentivize Day-of registration over pre-registration* was not directly noted - thanks for pointing that out. (*Albiet with higher map availability risks.)We are also in discussion on other fee updates (we've had no changes through the past ~15% increases in compounded years of CPI and many of our costs have risen even more) - please stay tuned for future updates - which will keep in mind this offset.A possible fee differential for Thu-PM for Fri/Sat online registration was considered as well, but the complexity of managing that has not yet been seen as worth taking on. We are looking at extnding the typical Thu-PM deadline to later, whenever that is feasible for the event volunteers, to minimize this time gap. (If an event director can manage an extended deadline - e.g. I've seen they sometimes do offer Friday PM, or even Saturday Noon - then the regular (pre-registration) fees would still apply.)

Reply by Len on Sat Apr 2, 2022 at 9:38 amSo, I just saw this as I was looking for upcoming events and how to register. Thank you, for moving the cut-off to Saturday at 9am. This week is a perfect example of why Patty and I wait till the last minute... WEATHER. She is less likely to attend with rain in the forcast and tomorrow is one of those marginal days. There have been many times over the years we did not decide to go until Sunday morning.I am not one for paying late fees (especialy one that is nearly 200% of the registration) so having this penalty will reduce the number to events I attend as I will not go if I miss the regular registration deadline.

I have found that one of the big benefits of pre-registration is actually bad weather days. It is always a bit sad when the volunteers put in a lot of work on an event and very few people show up due to the weather. All else equal, I feel like our attendance at bad-weather events has been noticeably higher since we started using pre-registration.
I recognize that there are very good reasons that some people don’t attend under certain conditions, including health and safety. I am not trying to criticize anybody with this comment!
Instead, what I am thinking of is the occasions on a gray day where people have told me that they probably would have just rolled over and stayed in bed, but having made the commitment of pre-registering they ended up coming and having a fun, wet time. Even though the cost of the course was less than the gas to drive to the event, the act of pre-registering has a physcological effect!
